Privacy Policy
We wrote this in plain language because we think you deserve to understand how your information is handled — especially when the information includes videos meant for your family.
The service is operated by Parent Memories LLC (“Parent Memories”, “we”, “us”).
What we collect
Account information: Your name, email address, encrypted password, and date of birth when you create an account. The date of birth is used only to confirm you meet our 18+ age requirement — we don’t use it for anything else. If you verify military status, we keep only the fact that verification succeeded and how. Through a verification partner, we never see the documents you provide to them. If you verify with us directly by email, we look at what you send only to confirm eligibility and then delete it — we do not keep copies of your documents.
Videos and audio: The recordings you make or upload, along with the title, date, duration, and file size of each entry.
Activity data: Dates and times when you log in and the IP address used. We use this to detect unusual access and to power your check-in timer.
Billing information: Payment details are handled by our payment processor. We store only confirmation that a payment succeeded — we never see or store full card numbers.
Legacy settings: The name, email address, and relationship of any person you designate to receive your videos.
How we use your information
To provide the service: storing and playing back your videos, managing your check-in timer, and notifying the people you choose. To send you check-in reminder emails and service communications. To verify military status for free-while-deployed accounts. To process billing. To respond to support requests.
We do not use your information to show you advertisements. We do not sell your data to third parties. We do not use your videos to train machine-learning models.
Your videos
Your videos are encrypted at rest. Only you and the people you specifically invite can watch them. Our team sees file metadata (size, duration, date) — never the content itself.
Handover and death
When your check-in timer completes the full process — including all warning emails and the 14-day final window — access to your account is transferred to the person you designated. That person receives your videos, your timeline, and full account control.
A family member may submit documentation to accelerate this process. An admin reviews and approves any such request before any access is granted. All handover events are recorded in our audit log.
Data retention
We keep your data for as long as your account is active and for a reasonable period after. If you delete your account, your videos are held for 30 days so you can download them, then permanently deleted along with your account data. If a subscription lapses, we give a generous grace period before any deletion, with warning emails throughout.
Military accounts are retained for a minimum of one year after inactivity, regardless of subscription status.
After a handover, the receiving guardian gets 180 days of free access. If they take no action and do not subscribe, the account follows the standard retention process with warning emails before any deletion.
Your rights
You can access, correct, or delete your personal information from your account settings at any time. You can download all your videos as a bundle. If you want a copy of all data we hold about you, or if you want to exercise any right under applicable privacy law, contact us at the address below and we will respond within 30 days.
If you are in Europe (EEA, UK, or Switzerland)
If you use Parent Memories from the European Economic Area, the United Kingdom, or Switzerland, this section applies to you in addition to everything above. The data controller is Parent Memories LLC (contact below).
Why we may process your data (legal bases). We process your information to provide the service you signed up for (performance of a contract — your account, your videos, delivery to the people you chose); for our legitimate interests in keeping the service secure and preventing abuse (login logging, rate limiting, bounce detection); and to comply with legal obligations. Where we ever rely on consent, you can withdraw it at any time.
Your rights under the GDPR and UK GDPR. You have the right to access your data, correct it, have it erased, receive it in a portable format, restrict or object to our processing of it, and withdraw any consent you have given. Most of these you can exercise directly: account settings for access and correction, “Download everything” for portability, and account deletion for erasure. For anything else, contact us — we respond within one month. You also have the right to lodge a complaint with your local data protection supervisory authority.
Where your data lives. Parent Memories is operated from the United States, and your data is stored and processed on servers in the United States. By using the service you understand your data is transferred there. We protect it the same way everywhere: encrypted at rest and in transit, never sold, never used for advertising, and never used to train anything.
No profiling. We make no automated decisions about you and build no profiles. The only automated processing of your content is operational — format conversion so your videos play on every device, and thumbnails for your own timeline.
Security
Passwords are stored using a one-way hash — they are not recoverable, even by us. Videos and account data are encrypted at rest. Login dates and IP addresses are logged to detect unusual access. We offer optional two-factor authentication on all accounts.
Cookies
We use cookies only to keep you logged in between sessions. We do not use advertising cookies or third-party tracking cookies.
Children
Parent Memories is for adults 18 and older. We do not knowingly collect information from children. Child recipients access content through a guardian-managed account held by an adult. California residents under 18 who have nonetheless posted content have the removal rights described in our Terms of Service.
